Getting StartedWhat is Meetia?
Meetia records and transcribes your meetings, then gives you an AI chat sitting right next to the transcript — live, while the meeting is still happening. No bot joins your call as a visible participant. Recording runs quietly from your own browser tab or your Mac, and other attendees have no way of knowing Meetia is running.
You work in Workspaces (projects, clients, or teams) made up of Smart Threads (a meeting, an AI chat, or both at once). Anything you haven't sorted into a workspace yet lives in your Inbox.
Web app vs. Desktop app
- What it captures. Web app: your microphone, and optionally the audio of the browser tab you're sharing. Desktop app: full system audio from any app — Zoom, Teams, Slack, or a browser.
- Sharing required. Web app: yes, if you want to capture other participants. Desktop app: no, nothing needs to be shared.
- Auto-start. Web app: no. Desktop app: yes, by calendar or by detecting that a call has started.
- Auto transcription. Web app: no. Desktop app: yes, on-device.
- Voice memos. Web app: no. Desktop app: yes — it works as a standalone transcriber outside of meetings.

Your first meeting
- Create a workspace, or start in your Inbox.
- Open a thread and press Record.
- Choose whether to include the shared tab's audio, and pick a language (or Auto-detect).
- Talk. Transcript lines appear as they're recognized, and you can ask the AI questions at any point — you don't need to wait for the meeting to end.
- Press Stop when you're done, or just close the tab — either way, the meeting is saved normally.

Record from a browser tab or capture full system audio with the Mac app. Choose how transcript text arrives, and use the same pipeline for voice memos.

Before recording starts, you're asked:
- Whether to include tab audio — this is how other participants get captured. Your microphone is always on.
- Language — English only, or Auto-detect.
While recording, you'll see a live audio level and timer, a red dot next to the thread in your sidebar, and transcript lines arriving as they're recognized.
Recording stops when you press Stop, stop sharing the tab, close the page, or after three minutes of silence. All of these end the recording normally — nothing is lost.
How transcript text arrives
Set this in Settings > AI > Transcription:
- Every 15, 30 or 60 seconds — text arrives in blocks, with speakers separated.
- Realtime — text appears as people speak, with the lowest possible delay. Speakers are not separated in this mode.
Recording with the Mac app
The desktop app exists to capture your whole system's audio — so a call in Zoom, Teams, Slack, or any browser tab gets recorded without sharing anything.
- Audio never leaves your Mac. Speech is recognized on-device; only the resulting text is sent to Meetia. More on this in Privacy & Data.
- Both sides are always captured — your mic and the system output, with remote participants split into individual speakers automatically.
- The transcript is cleaned before saving — filler words, stutters, and repeats are removed on-device. The raw version is kept too.
Three ways a recording can start:
- You press record, same as on the web.
- Your calendar starts it. Set rules on the Calendar page — has a video link, you're the organizer, working hours only, title contains/excludes words, attendee limits, skip all-day or recurring events, only accepted invites. Any single meeting can be force-recorded or force-skipped regardless of the rules, and you choose which workspace it lands in.
- The app notices a call has started. A floating panel asks "Record this meeting?" and names the app it heard — this catches calls that weren't on your calendar. It also reminds you to confirm consent from other participants.
Staying aware of a running recording: a menu bar timer, a REC badge on the Dock icon, and a floating Stop/Pause panel (Pause can mute just the mic or everything). If the meeting app quits or the screen locks, the app asks "Still recording?" rather than assuming — it never stops a live recording on its own.
Voice memos
The desktop app also works without any call attached — open it and use it to transcribe a voice memo using the same on-device pipeline.
Threads & Workspaces

A thread holds a chat, a meeting, or both, names itself, and resumes anytime. Workspaces group threads and set the boundary for AI context.

A thread can be:
- A plain AI chat (for prep or brainstorming)
- A recorded meeting
- Both — start as a chat, then hit record when the meeting begins. Your chat history and the live transcript sit together in one place.
Auto-naming: a few minutes into a meeting, Meetia titles the thread based on what's actually being discussed. Your thread list ends up reading like a list of meetings, not timestamps.
Resume anytime: leave mid-brainstorm or mid-meeting and come back later — transcript, context, and history are all still there.
Workspaces
Workspaces group related threads — one per project, client, or team. This is also the boundary for AI context: the AI understands the history across every thread in a workspace, and search and retrieval stay scoped to it (cross-workspace search is planned, not yet available). Everything indexed for a workspace is listed on its Knowledge screen.
Organization
Your company account sits above everything — people, settings, billing. You can belong to multiple organizations and switch between them.

Ask about anything said, mid-meeting or after. Answers carry citations, files can be attached, and editing a question branches instead of overwriting.

Asking anything else
The chat sits next to the transcript with the meeting already in context. Ask about anything said, request a summary, draft a follow-up message, or turn messy notes into something structured — mid-meeting or after. The AI can also reach the tools you have connected.
Citations
Every AI answer carries numbered citations. Click one to jump straight to the source — a transcript line, a document fragment, or an earlier thread. Sources are also listed underneath the answer.
Attaching files
Attach up to 5 files per message (10 MB each): PDF, Word (.docx), plain text, Markdown, or images (PNG, JPEG, WebP, GIF). Documents are read and indexed so they can be cited later, and they appear on the workspace's Knowledge screen; images are understood directly. The same file uploaded twice in a workspace won't be processed again.
Editing a question
Editing a message creates a branch rather than overwriting it — the original stays available, and you can switch between branches. Every message keeps its revision history.
Searching beyond the current thread
If the answer isn't in the current transcript, the AI looks across other meetings and documents in the workspace, and tells you which thread it pulled from. You can also search it yourself.

Every workspace lists what's indexed for AI retrieval, with status. There's no upload screen: attaching a file to a chat message is the upload.

Search

Find in thread searches the conversation you're in, literally. Workspace search matches by meaning too, so you don't need the exact words.

Meetia has two distinct search tools:
- Find in thread (
Cmd/Ctrl+F) — literal search inside the conversation you're currently viewing. - Search (sidebar) — searches across the whole workspace: threads, messages, and transcripts. It combines exact and meaning-based matching, so you can find a passage even if you don't remember the exact words. Results are sorted by relevance, and meaning-based matches are labeled as such.
Scope
Cross-workspace search is planned but not yet available — search and AI retrieval are currently scoped to one workspace at a time. What is searchable is whatever appears on that workspace's Knowledge screen.

Meetia doesn't ship a fixed list of integrations. Instead, paste the URL of any remote MCP server — Meetia figures out how it authenticates, walks you through consent, and its tools become available to the AI in chat, including during a live call.
Google Workspace
Google Workspace has a dedicated one-click connection: a single consent screen brings in both Gmail and Calendar. Calendar is also what lets the Mac app start recordings automatically.
Manage all connections in Settings > Integrations — each can be disconnected there.
Tool calls during a chat
You see every tool call and its result inline. Anything that would write to an external system pauses first and shows you exactly what it intends to do — you can edit the arguments before approving. What runs is exactly what you approved.

- General — appearance (light/dark/system), interface language (English only, for now), and account actions.
- AI — Transcription. How live meeting audio is turned into text: every 15, 30 or 60 seconds, or Realtime. Audio is transcribed in blocks, so text appears in steps rather than word by word. Shorter blocks mean you wait less for each piece of the transcript; longer blocks give the model more context and send fewer requests. See Recording for what each option feels like in a live meeting.

No audio is stored and no bot joins your call. On the Mac app, speech recognition happens on-device, so audio never leaves your machine.

Frequently asked questions
Will other people on the call see that I'm recording?
No. Meetia doesn't join as a visible participant — there's no bot, no icon, nothing to indicate it's running.
Does Meetia store audio?
No. Only the transcript is kept; audio is discarded after transcription.
Can I use Meetia on Windows or Linux?
Not yet — the desktop app is macOS-only today. Windows and Linux support is planned. The web app works on any platform.
What happens if I lose connection or close the tab mid-meeting?
The recording ends normally and is saved — this isn't treated as an error.
Can the AI see things from other meetings?
Yes, within the same workspace. It draws on every thread's history, transcripts, and documents in that workspace. It won't reach into other workspaces (cross-workspace search is planned).
Can I connect tools like Jira or Notion?
Yes — paste the MCP server URL for the tool you want in Settings > Integrations, and Meetia handles the rest. Google Workspace has its own dedicated one-click setup.
What if I edit a question I asked the AI?
Your original question and its answer aren't lost — editing creates a branch, and you can switch back and forth between versions.
